What is planning?
Planning is a way of organising ideas and creating activities that are required to achieve a desire goal. If you plan correctly you can reduce a lot of stress and time.We need a plan because it helps us to construct an activity. It sets us towards the right directions and it establishes other arrangements that can help us succeed. It also helps others to communicate and each one of us can achieve different aims. Elements of planning: -activities to achieve -Rules -communication -Budget Activities to achieve If were planning a gig the activities that we would need to achieve are: -set the group different jobs -plan the venue a location,date and time -promote by poster, web pages, ads, etc. -set a budget -find bands -find transport for the bands Rules each activity have different rules such as one person for each activity communication communication is important for the group and for the band it helps to know what needs to be done and whos doing it. Budget example: -Printing posters-£5 -Equipment-PA-£289 -Transport-£500+VAT -Food-£50 -Extra strings (guitar)-£4.99 total:848.99 Plan-do-Evaluate Cycle-
also called a PDCA (Plan-Do-Check-Act) or LEAP (Analyse,plan,do,review) is a cycle that has no end movement so it keeps repeating itself without stoping,there are different cycles of planning but they all attempt to give the same result at the end even if some of them may have extra steps. How to use this cycle- 1- Plan your venue and if your plan doesn't work so well then don't be afraid to change. 2-Do, whatever you have planned go out there and do it.Remember to write down everything you have done so you don't forget. 3-Evaluate what you have done and have a list of Pros and Cons to make the planning better. Health and safety-
Me and Natalie went to see the security manager of health and safety named Jim. Nat gave him her email and he sent out a risk assessment for us to fill for the Queen Victoria Pub.I also wrote down on the major music project initial proposal powerpoint the things that we need to look out for to avoid any risks at the gig. If any high risk hazards occur then we will be informing the pub owners and if its only small/ low hazards then we will take care of it.We all have different duties that need to be fulfilled at the gig such as; Natalie will be taping down all the leads, Dan is moving the stuff out of the way, Jordan will be cleaning up drink spillages, Im in charge of people knowing where the emergency doors are, Teddy is in charge of securing the equipment and Jasper is who people go to if theres any accidents. Budget-
As a class we decided to do a charity gig because we wanted to raise a lot of money for the charities that we choose and we knew that we wouldn't have to supply a lot of money for the gig because we already have the instruments and the equipment for the gig.Dan suggested to raise money for 2 charities and I researched different types of charities, they were; youth music, cancer research, oxfam and the gorilla orginization. I presented this to class and in the end we decided to raise for cancer research and oxfam because they were both local in our community.I went down to cancer research and oxfam to get poster, buckets, leaflets and stickers (that cost us nothing.)Promotion also cost us nothing because it was all printed at the Henley college office.We had great help from talented engineer Cameron that helped us the sound.There were a few things that cost us money and that the duck tape,batteries and stamp that cost in total of £20. Class Meetings- As a class we each gave ourselves different roles;I recorded all our meeting videos and was in charge of the charity.Teddy was in charge of finding bands and performances for four gig.Dan was in charge of finding a suitable venue.Jordan and Natalie were the project managers making sure we all were doing our roles correctly and Jasper was in charge of promotion.We all started to make a powerpoint as a class of our planning process of course Im the who finished and concluded with more detail.
Venue-
For the venue we had a lot of different ideas and places that we wanted to do the gig in.The first idea was to held the gig in summer when we have a lot of time to plan it and more audience to come and see us perform.We decided to not do it at the hot frog again and try to do it in somewhere different but we did not abandon the place because it could be our back up plan if we couldn't find somewhere else.Dan went to the old bell because he was familiar with the owner but apparently the owner did not have a music license.We also tried to pick the Row Barge but no one dedicated to call the venue and ask them if we could held the gig there so in the end Dan called the Queen Victoria pub and they agreed.Here are some pictures of the venue: |
Booking acts-
Booking acts its one of Teddy's role.Teddy asked; Matt Maltese- a pianist and a singer that releases his own singles.Georgia Michel- a guitarist and a singer that performs in a lot of venues.James Handcock- a singer and guitarist who use to be in our class in first year, he writes his own songs and performs in a lot of venues as well.The band Scuff- very popular band that performs their own songs.His guitar teacher- a jazz guitarist. Unfortunately Teddy's guitar teacher and James Handcock were not available to play at our gig. Set list-

We all had different roles in promotion. Jasper and Dan created the posters and put them all around college.They used the powerpoint software and created something simple that would stand out. Press release-
Jordan and Teddy went to find out the person who talks about the different activities that each student does and releases in the Henley standard newspaper.We all did an individual press release so we can pick out the best parts and use it as one whole information. College Newsletter-
Me and Natalie decided that it would be a great idea to put our gig in the college newsletter so Natalie emailed the centre assistant Natalie Kozakiewicz.She emailed us saying that we had to create a powerpoint slide that included all the information about our venue. Facebook page-
The Facebook page that promoted our gig was created by me and Natalie it was incredibly simple and it contained all the information given about the venue, the charities and the performers.The cover photo was of our two charities that we were raising for. My individual role:
My role was to get leaflets,posters, stickers and other promotive stuff from each charities; cancer research and oxfam.I completed all my goals for oxfam at first i sent them an email to oxfam telling them that we are organising a gig and would love if they could send us leaflets and posters,I also went to local charity shops and got stuff from there as well.Cancer Research was completely different i also sent them an email and they sent me a fundraising pack(as you can see down below) but when i went to the cancer research shops in henley and high Wycombe they both said that they do not have any materials to promote for the gig. |
